You get a Booking Acknowledgement and Invoice/Receipt

Once you have successfully made your online booking, you will receive an automatic Booking Acknowledgement showing all the details you have just entered. This will be sent to you by email at the address you have given to us.  At the same time or shortly after, you will receive an invoice (for paying by bank transfer).

You get a Booking Information email

We send you an information email, letting you know that you (or your participant) has a place on the workshop and either that it is already confirmed as going ahead (see below), or asking you to wait before making any hotel or transport reservations until you hear from us again with the confirmation message that the course is viable.

Check your spam tray

If you are a new customer, please send an email to your IT department requesting that emails from 'ibicus.org.uk' do not get caught in your spam filters.  We always email soon after your booking so if you have not heard from us, the email may be in your spam tray.

You get a Workshop Confirmation email

Don’t book flights etc until your workshop is confirmed – we always advise you NOT to make any travel arrangements before the workshop is formally confirmed and then to only make refundable bookings.  Insurance to cover cancellations is also strongly recommended.

and get a visa

Once you have received written confirmation from us telling you that your workshop subject is confirmed, please book your transportation and make sure you apply for any relevant visas in good time – see our support letter by following the links on each venue information page. 

Check the workshop information pages

Go to our home page and click on Workshop Info to follow the links to view/download the information pages for the workshop you have booked. These include information on the venue’s location, the timetable(s), accommodation suggestions etc.

Look out for your workshop leader’s emails

Closer to the workshop start date, you will receive an email from your workshop leader telling you what to bring. This will always include your Subject Guide, which is available from the Programme Resource Centre (PRC) if you do not already have this. Your IB Coordinator should have a login code to access this website and download the documents you need.

Final Information

About 10 days before the workshop, we will send you a message with all the final information you need but you are of course welcome to email us at any time at admin@ibicus.org.uk with your workshop queries.
